In-house exhibition 2025 in Ditzingen
XFAIR makes our broad portfolio available to our customers not only for mammoth projects such as bauma in Munich, world-famous events such as the Spielwarenmesse in Nuremberg or international events such as CBST in Shanghai. We are also happy to support our customers at smaller events such as in-house exhibitions. This is what happened from April 1 to 4, 2025 in Ditzingen.The task
The customer needed a tool to handle invitation and registration management for its in-house exhibition. The registration and deregistration of visitors at the event and the provision of an information desk were also relevant topics. Visitor accommodation was also to be handled using the XFAIR hotel management solution.

The implementation
XFAIR organized the registration for the event via an online registration with no less than six registration groups. This high number of registration groups was used for the precise internal allocation of visitors and employees. Once registration was complete, the e-tickets with the personalized QR code were sent via automatic confirmation emails from the XFAIR system. This meant that all participants were able to check in at the event by scanning the QR code at the information desk, regardless of their registration group.
The customer divided its visitors into groups, which were assigned to account managers who were given dedicated access to the system to manage and plan the visitors. Via a similar license, another person on the customer side took care of hotel management and thus ensured the distribution of guests to the available hotel contingents.

The result
Thanks to the high flexibility of the XFAIR system – in this particular case the online registration – the customer was able to offer its visitors from different contexts and employees a customized registration and ensure that the information relevant to the respective group of people arrived on time. The specification of the complex dependencies of various criteria that were important to the client were easily integrated, ensuring a smooth process. On-site technical support ensured that any challenges were overcome in no time at all.
