electronica 2024 in München

From November 12 to 15, electronica 2024 at the Munich exhibition center focused on topics such as semiconductors, embedded systems, micro and nanosystems, sensor technology, electromechanics, power supply, system components, printed circuit boards, passive components... we could go on and on. In short, electronica is the world's leading trade fair and conference for electronics and has been providing an overview of the latest technological developments within the industry every two years since 1964. This year, 3,480 exhibitors from 59 countries took part in 192,000 m² of exhibition space in 18 halls and welcomed a total of around 80,000 visitors. We have compiled the XFAIR key figures for you in this review.

The task

Our customers at electronica in Munich had different requirements for their trade fair stand management. The XFAIR solutions were to be used to technically equip the information desk and to manage the meeting rooms. Both customers wanted to be able to track the attendance of their stand staff and compliance with room bookings. The recording of leads and the option of being able to book appointments for event-specific services during registration were particularly important.

The implementation

Our technical team equipped the helpdesk with three telephones, tablets and computers so that the information desk staff could carry out their tasks without any problems. Of course, the XFAIR software solutions had already been installed and configured for the customer and training was provided on site before the start of the trade fair. By importing the employee data into our customer-specific database, an overview of the stand services and attendance of the registered persons was always available. XFAIR Check-In was also used for this purpose. Meeting room management was also clearly structured and efficiently handled using the corresponding XFAIR software.

Elsewhere, our Customer Care team adapted the XFAIR Lead app to the customer’s needs during the two-month lead time. To this end, our solution was further developed to optimize the display of the necessary data protection texts. At the same time, the online registration was equipped with the check-in module. Since the QR code on the trade fair badge had to be scanned for individual check-in, the XFAIR software developers also created an interface (API) to the organizer’s database. The option to book appointment slots within the online registration process was handled with a modification of the existing meeting room module. On site, XFAIR provided the stand service providers with the iPads prepared for lead capture and the iPhone used for check-in. We also provided our customers with smaller technical gadgets such as USB-to-USBC adapters and a Surface tablet. A 5G router was used to ensure a stable internet connection throughout the stand.

The result

Thanks to the meticulous preparations and detail-oriented cooperation of the XFAIR team, electronica is another positive experience in the trade fair fall 2024.

On the one hand, the information desk could be used without any problems to bring visitors together with the employees responsible for them. A useful extension here was the use of the check-in function, as this meant that the availability of the respective person could be viewed by the Infotheque staff at all times. Any necessary meeting room bookings could be made centrally, ensuring an efficient and coherent trade fair experience when visiting the stand.
On the other hand, the comprehensive online registration with the XFAIR software created a complex tool that made the process on site with check-in via the trade fair badge and the recording of leads with the help of the XFAIR app uncomplicated and yet seamless. We remained available on call throughout the trade fair and ensured that our customers’ employees were able to concentrate fully on their tasks.
