Texcare 2024 in Frankfurt

Texcare International 2024 offered around 305 companies from 32 countries a stage for their innovations in automation and energy efficiency in Frankfurt am Main from November 6 to 9. Around 15,500 visitors from 122 countries did not miss this spectacle. XFAIR was able to make our customer's work easier, especially when it came to lead capture.

The task

The IAA Transportation was a varied undertaking for XFAIR. Our customers’ requirements included “classics” such as hotel and employee management, stand information systems and meeting room management – in addition to printing and personalizing name badges and setting up a reliable network and access controls. One of our customers also needed a way to manage their merchandise store. In addition, solutions were requested for the distribution of advertising materials and visitor flow measurement.

The implementation

The first step in this project was to import the employee data provided so that it could be clearly displayed in our event management software (EMS). Our contacts on the customer side were then given access to XFAIR’s hotel management solution. As the database on which this system is based was created individually for each customer and event, we were able to ensure that we complied with the data protection requirements of the GDPR. Incidentally, this is a measure that is complied with by all our customers – regardless of their access to our system. The XFAIR Customer Care team provided the responsible parties with detailed training on how to use our hotel management tool, but was of course always available to answer any questions. The training for this project included entering and processing the hotel allotments, managing the bookings and sending the booking confirmations. For the latter, we provided an e-mail template that enabled e-mails to be sent in the customer’s corporate design (CD) from the XFAIR system.

The lead sheet stored in the lead app was configured according to customer requirements so that employees working on site could enter standardized data records with little effort. These data records could be checked by those responsible with access to the system and reworked if necessary. With XFAIR Lead Management, an up-to-date report could be downloaded for evaluation at the end of the day.
On arrival at the stand, the stand employees received printed name badges in advance, which identified them to visitors as contact persons. This time with the special feature that the material of the name badges was wood. Another special and above all practical gadget at Texcare were the two charging stations for cell phones that XFAIR set up at the stand. Employees and visitors alike were able to connect their phones and electronic devices to the power supply and charge them for a certain period of time.

The result

With the help of our hotel management tool, our customer was able to manage four hotel contingents in just as many hotels and thus book up to 210 rooms per night. The responsible coordinators were always able to count on the XFAIR support of our Customer Care team. With our lead app, over 1,000 leads were generated within just four days of the trade fair.
